Please read through the submission instructions listed below before preparing your abstract.
Step 1: Read the Submission Guidelines for the submission of abstracts.
Step 2: Write your abstract following the Abstract Format Guidelines. Please note – it is imperative that all abstract submitters use the template provided on this website. Incorrect submissions will be returned for the necessary edits.
Step 3: Download template and insert/add your abstract text. Save as a WORD document to your computer (Abstracts must not exceed 300 words, including references).
Step 4: Click on the button below to complete the Abstract Submission Form. It will be necessary to attach/upload the WORD copy of your abstract.
- Please print a copy of the abstract submission form for your records prior to clicking the ‘upload’ button.
Format of Abstract
Abstracts will be published as submitted – therefore, all submissions must conform to the Abstract Format Guidelines. Accepted abstracts will be published in the Congress proceedings.
* The Congress Managers will not be held responsible for abstract submissions not received via the website or for submission errors caused by Internet service outages, hardware or software delays, power outages or unforeseen events.
Submission Guidelines
- All abstracts are to be submitted by the presenting author.
- All abstracts must be original work.
- The purpose of the abstract is to define the precise subject of the presentation to an audience or for clinical cases, to clearly describe the case for the selection panel.
- All submissions will be electronic. If you are unable to submit in this manner, please contact the Congress Managers at physiciansweek@tourhosts.com.au or phone: + 61 2 9265 0700 for further information.
- The presenting author should complete all fields on the online submission form.
- All Trainees and Fellows of the RACP, members of IMSANZ, members of the Chapter of Community Child Health; affiliate members of the Chapter of Community Child Health’s Special Interest Groups and members of the Paediatric Society of New Zealand are eligible to submit abstracts.
- A person involved in significant research who is not an RACP Trainee or Fellow may also submit an abstract. Please refer to Awards/Prizes for eligibility criteria.
- Please print a copy of the abstract submission form for your records prior to clicking the submit button.
- The presenting author will be required to register for the Congress in order to ensure their abstract(s) is included in the oral/poster program. Deadline for presenting author registration is 21 March 2009.
- Abstracts must not exceed 300 words, including references
- All abstracts must be prepared according to the guidelines provided. Incomplete or incorrect submissions or submissions that exceed the 300 word limit may be returned to the author to be resubmitted in the correct format for inclusion in the program.
- The presenting author must complete and submit a Disclosure Statement on submission of their abstract/s
- The reviewers reserve the right to move abstract submissions between related areas of the Program. For example an abstract may be shifted from a Free Paper Presentation to an Award session or a Poster presentation.
- Each abstract can only be submitted once. The same abstract cannot be submitted for consideration in different award prize/free paper categories.
Abstract Format Guidelines
Title
The abstract title should be short, informative and contain the major key words. It should be in upper case, Arial, BOLD, 12 pt size, and right and left justified.
Authors
Abstract Titles should be followed by authors’ last name and first initial (with the presenting author in bold). Superscript numbers must be used to indicate the author’s institution, followed by city and state (in this order). Do not include degrees or professional titles (e.g. Dr, Prof., etc).

Abstract text
- Abstract text must be in Arial, 10pt size, single-spaced and justified.
- Abstracts are to be a maximum of 300 words, including references.
- There is to be a maximum of 2 references.
- Use standard abbreviations only. Within the body of the abstract, when using abbreviations spell out the name in full at the first mention and follow with the abbreviation in parenthesis. Abbreviations may be used in the title, provided the name in full is outlined in the body of the abstract.
- Capitalise the first letter of trade names.
Compliance to the specifications is imperative - any abstract that does not comply with these specifications will not be accepted for review.

Helpful Hints
Helpful hints for those people seeking to submit abstracts for the Paediatrics & Child Health Annual Meeting to be held in Sydney in May 2009.
The following problems were found in abstracts submitted for the 2007 and 2008 Congresses:
Not following the abstract format
- Not keeping to the word limit.
- Not structuring the abstract in headings – introduction, aims, methods, results, conclusion.
- Not keeping to headings, e.g. including results in the conclusions section.
- Including more than 2 references.
- Not checking the spelling and correct English
Inadequate information
- Assuming that the reader has knowledge of treatment programmes which are therefore not described in the abstract.
- Where a protocol forms part of the method, this protocol should be described.
- Not being specific and detailed enough in the results to be able to support the conclusions convincingly.
- Submitting incomplete studies that do not have all the results available.
Not specifying the population or setting from which study sample is drawn
- Not specifying the population or sample undergoing a screening test identifying individuals with a condition.
- With questionnaires, not specifying the number of responders and non responders.
Inadequate description of study design
- Not giving the type of study- ie case control, prospective observational, retrospective cohort, cross-sectional survey, controlled trial etc.
- Insufficient information on the controls.
- Not describing an adequate evaluation of an intervention.
Interpretation/Conclusion
- Ensure that conclusions are supported directly by the data presented in the results.
Other problems
- Submitting more than one abstract referring to different aspects of the same study population. This tends to lead to a greater number of poorer quality submissions.
- Submitting preliminary data before full data analysis is complete, or data from a pilot study identifying a need for a larger study. If included, such studies are generally not very interesting and detract from the data once the study and analysis is complete as it appears less original. For example if similar abstracts are submitted from the same study in successive years, this appears to lack originality.
- Evaluating aspects of clinical protocols (e.g. adherence to protocols, variations in protocols across different centres) without completing the full QA cycle.
Please note that the eligibility criteria for an award, oral or poster presentation is based on the submitted abstract. Therefore, the Paediatric Scientific Program Committee strongly recommends that researchers invite a senior colleague to read through their abstract prior to submission.

Accommodation Booking Deadline: 9 April 2009
A minimum one night’s deposit must be paid or credit card details given at time of booking to guarantee reservation. Bookings made after 9 April 2009 must be secured with credit card details.
